Project Coordinator


Location: Cambridge

Our Project Co-ordinator will:

Scientia, the global market leader in timetabling and resource scheduling software solutions for Higher Education, Government and Private sectors, is extending its Sales and Marketing Team by recruiting a Customer Service Coordinator.

  • Act as lead contact for serious client escalations/complaints regarding service (Support or Implementation) or product
  • Be responsible for coordinating timely responses from various departments to clients
  • Work closely with Account Managers in order to act as the final point of escalations
  • Undertake research and collate information relating to customer queries on behalf of Account Managers
  • Manage and exceed customer expectations, ensuring a mutually acceptable resolution
  • Provide up to date progress status and feedback on each escalation as and when required
  • Develop their knowledge of systems, processes and customer requirements, constantly striving for improvements and share knowledge amongst the team
  • Administer consultancy orders in TeamWorkPM, Dynamics CRM and SharePoint
  • Maintenance of a centralised consultant’s diary
  • Ownership of the staff skill matrix
  • Be the Key User and Administrator for TeamWorkPM, including setting up projects
  • Create services reports including Timesheet analysis, services backlog and forecast and other related reports on an ad-hoc basis
  • Establish a project document library and manage ongoing usage 

While the following will make you stand out:

  • Educated to Level 3 standard and a Customer Service or Administration  diploma is desirable
  • Aptitude for working with software applications and experience with PSA tools is preferable
  • Sound proven customer service experience within either a support role, post-sales, appointments
  • Strong customer focus and literate with excellent communication skills
  • Problem solver with emphasis on task completion
  • Professional, proactive, positive and with a “can-do” attitude
  • Maintain a calm, analytical disposition
  • Willing to take on new skills and improve knowledge of all relevant areas
  • Ability to travel to client sites occasionally
